Common questions about donor tiers, write-back, pledges, and custom fields.

What does the integration cost?

Does my initial donor import count against my donor tier?

Yes. The initial import is included in onboarding, and the donors it brings in count within your plan's donor limit. The base plan includes 5,000 donors, and capacity can be added in blocks of 2,500 donors at $99/month each. If your existing donor file is larger than your plan covers, talk to us before go-live - a scoped import (for example, donors active in recent years, selected via a Donor ID list) or additional donor blocks are both options. Will my historical gifts show up as deals in HubSpot?

Not by default. Every imported donor gets their lifetime totals (total giving, YTD, gift count, first/last gift, etc.) from day one, but individual gifts only sync as deals starting one month back from go-live. Additional months of donation history can be imported for a one-time fee of $50 per month of history. See Initial import & historical gifts.

I changed a value in HubSpot - will it stick, or will DonorPerfect overwrite it?

DonorPerfect is synced to HubSpot continuously (every 5-15 minutes) and is treated as the source of truth by default, so an untouched HubSpot value will be overwritten on the next sync if DonorPerfect has a different value - including overwriting with a blank if the DonorPerfect field is empty. To make a HubSpot-side change stick in DonorPerfect, use the "Update DonorPerfect" property to push it back explicitly. See Sync timing and reliability.

Do compliance fields like nomail / no_email follow the same rule?

Yes - they're synced the same way as any other donor property: DonorPerfect's value wins on the recurring sync, and the only way a HubSpot-side value overwrites DonorPerfect is the same explicit "Update DonorPerfect" push described above. If your organization needs a hard guarantee that these two fields are never overwritten from HubSpot regardless of what a user does, tell your APIANT contact - that's a configuration conversation, not default behavior.

Do pledges (recurring gifts) sync?

Yes. DonorPerfect pledge records (record_type = 'P') sync through the same gift pipeline as any other gift, with the record type and pledge-related fields (balance due, billing amount, frequency, etc.) populated on the deal. Each payment against a pledge is its own gift record in DonorPerfect and syncs as its own linked deal.

Does my DonorPerfect contact log (calls, letters, visits) sync?

No - contact-log entries are outside the standard CRMConnect property set. This is intentionally out of scope; if you need that history connected to HubSpot, it would need to be handled as a separate project.

Can I bring a custom DonorPerfect field into HubSpot?

Yes, with the Custom Fields add-on ($89/month) - your custom DonorPerfect fields can be mapped to HubSpot properties (contact or deal). Tell your APIANT contact which field(s) you want synced and where you want them to land.

For dropdown-style fields, does HubSpot store the DonorPerfect code, the description, or both?

Both. CRMConnect writes the readable description so reports and dashboards make sense at a glance, and the underlying code is available as part of the standard property set. See Data reference.

What if a donor has no email address in DonorPerfect?

They still sync - the HubSpot contact is created without an email address. Keep this in mind for email-driven workflows: segment on the synced No Email / email fields so contacts without addresses don't break your sends.

A donor exists in DonorPerfect but I can't find them in HubSpot

Check, in order: the donor sync has had time to run (every 5 minutes); the donor doesn't have a data issue blocking the match (e.g., a duplicate email on the HubSpot side); and your account is within its donor tier for new donors.

Everything stopped syncing at once

The usual cause is a changed DonorPerfect or HubSpot password, or expired API access - every sync fails together because the underlying connection is down. Contact support and we'll walk you through reconnecting.

Who do I contact?

support@apiant.com. Include your organization name and, if the question is about a specific donor or gift, the DonorPerfect Donor ID or Gift ID. Do not send passwords or API keys by email.
