Getting Started
Onboarding: what you provide, what happens on day one, and your first-day checklist.
Onboarding is done with you by the APIANT team. Plan for a short kickoff call and a same-week go-live for a single site; multi-site rollouts are phased site by site.
What you provide
- Mindbody access. Your Mindbody Site ID and an activation code or API approval so the integration can read your business data. Your Mindbody plan must include API access (most business plans do).
- Klaviyo access. A private API key from your Klaviyo account with full read/write scopes. You create this in Klaviyo under Settings → API Keys, and you can revoke it at any time.
- A decision on history. How far back you want sales history imported (see Backfill below), and whether you want the starter marketing package installed.
What happens at onboarding
- Connections are made. Your Mindbody site and Klaviyo account are connected in APIANT's managed environment. Nothing is installed in either system.
- Locations are named. A settings pass reads your locations from Mindbody and builds the location naming table, so every studio appears in Klaviyo under its real name from the first record. See Locations.
- Clients are imported. Your Mindbody client base is imported as Klaviyo profiles with identity fields and Mindbody properties. Importing does not subscribe anyone to email or SMS; consent is handled separately (see Consent and privacy).
- Recent sales are backfilled. Recent sales history is imported as Placed Order and Ordered Product events so revenue reporting and purchase-based segments work from day one. The standard window is the recent past (for example 30 days); longer windows are available on request.
- The live sync is switched on. From this point, changes in Mindbody appear in Klaviyo continuously.
- Optional: the marketing package is provisioned. Lifecycle segments, per-location segments, and five starter flows are created in your account as drafts. Nothing sends until your team reviews it, sets your sender identity, and turns it on.
Your first day checklist
- Open a few client profiles in Klaviyo and confirm the Mindbody properties look right (home studio, status, membership fields).
- Check the Metrics page in Klaviyo: you should see MB-prefixed events arriving as activity happens in Mindbody.
- If the marketing package was installed, review each flow's email content and sender address before setting any flow to Live.
- Book a test appointment for a test client in Mindbody and watch it land on the Klaviyo profile within a minute or two.
Making changes later
Renamed a studio, opened a location, or restructured your services? Most changes are picked up automatically or with a one-click settings refresh performed by APIANT. Email support@apiant.com and it is handled the same day, with no interruption to the sync.
