Getting Started

Onboarding: what you provide, what happens at go-live, and your first-day checklist.

Onboarding is done with you by the APIANT team. Plan for a short kickoff call and a same-week go-live for a single site. Multi-site rollouts are phased site by site.

What you provide

  1. Mindbody access. Your Mindbody Site ID and API approval so the integration can read your staff availability and write appointments. Your Mindbody plan must include API access (most business plans do).
  2. Calendly access. Organization-level access to your Calendly account so your booking pages can be kept in sync. You approve the connection once, and you can revoke it at any time.
  3. Your staff, services, and pages. Which Mindbody staff (by Staff ID) pair with which Calendly hosts (identified by the host's Calendly account email), which Mindbody appointment types map to which Calendly event types, and which web pages the booking buttons go on.

What happens at onboarding

  1. Connections are made. Your Mindbody site and Calendly organization are connected in APIANT's managed environment. Nothing is installed in either system.
  2. Locations and staff are mapped. A settings pass records each studio, its time zone, its staff, and the appointment types that map to your Calendly event types. See Locations and multi-site.
  3. Booking buttons are provided. APIANT gives you a small booking button for each page. Your web team pastes it once per page (one booking button per page: each page shows one event's booking widget).
  4. A test run confirms the loop. Together we open a booking page, confirm the times match Mindbody, book a test slot, and confirm the appointment lands in Mindbody on the right staff calendar.

Your first-day checklist

  • Open each booking page and confirm you see real open times, and that a time you know is busy in Mindbody does not appear.
  • Block an hour on a staff member's Mindbody calendar, reopen the page, and watch that hour disappear.
  • Book a test slot and confirm the appointment lands in Mindbody on the correct staff member's calendar.
  • Confirm the times on the page read in the studio's local time.

Making changes later

Added a staff member, changed which service a page books, or opened a location? Most changes are a one-click settings refresh performed by APIANT. Email support@apiant.com and it is handled the same day, with no interruption to bookings.
