Locations and Multi-Site

How sites, locations, staff, and services are identified and mapped, and how to add more.

One Calendly organization can serve a single studio or a large multi-site brand. This page explains how sites, locations, staff, and services fit together.

How Mindbody identifies a studio

Mindbody identifies every studio by a pair of numbers: a Site ID for the business or region, and a Location ID within that site. CalendarConnect records each one at onboarding, along with its time zone.

How staff and services are mapped

  • Staff to Calendly host. Each Calendly host, identified by the email on their Calendly account, is paired with a Mindbody staff member by Mindbody Staff ID. You provide that pairing at onboarding, and it is what tells CalendarConnect whose Mindbody availability to read and which Calendly host's schedule to write. The staff member's own email in Mindbody does not need to match anything; only the pairing matters.
  • Appointment type to event type. Each Calendly event type is tied to one Mindbody appointment type at one location, so a booking page for, say, a first fitness assessment in Doylestown reads exactly that service's availability at that studio.

One organization, many studios

A brand with several Mindbody sites feeds one shared Calendly organization. Each event type is mapped to the right site, location, staff, and service, so every studio has booking pages that reflect its own calendars.

Adding a location, site, or staff member

New locations, sites, and staff are set up by APIANT, not automatically. Coordinate the change with APIANT support so your CalendarConnect account settings are reconfigured to include the new site, locations, and staff correctly.

  • A new location or staff member inside an existing site: APIANT updates your account settings so it is mapped to the right event types and its booking pages reflect Mindbody.
  • A brand-new site (a new region or entity): APIANT connects it once and reconfigures the settings the same way.

Email support@apiant.com with the new site, location, staff, and time zone details. APIANT schedules the change and verifies it with you, so nothing goes live misconfigured.
