Onboarding: what you provide, what happens at go-live, and your first-day checklist.
Here's what to expect during onboarding, start to finish.
1. Create your APIANT access accounts
We'll need dedicated access for both systems rather than a personal login:
- DonorPerfect — an admin-rights user for APIANT (e.g.
support+YourOrg@apiant.com), plus your DonorPerfect site login URL. - ActiveCampaign — an API URL and API key from an admin account. ActiveCampaign connects via API key rather than a user invite, so there's no seat to assign.
Creating these up front is the single biggest thing you can do to speed up onboarding — it lets us move straight into configuration instead of waiting on access.
2. Answer a few pre-installation questions
We'll ask you to confirm a handful of settings before we build your integration:
- Which ActiveCampaign list new donor contacts should be subscribed to.
- Whether to assign a default ActiveCampaign contact owner for records the integration creates (off by default).
- Whether DonorPerfect flags should sync as ActiveCampaign tags, and whether a tag should be removed when its DonorPerfect flag is removed (on by default for both).
- Whether donors without an email address should still sync using a generated placeholder address (off by default — see Sync timing and reliability).
- Whether your Gifts Pipeline add-on is enabled — this determines whether gift activity syncs to ActiveCampaign as deals at all.
3. We prepare your integration
While you're gathering access and answers, we configure your account's field mappings and settings against the standard property set (see Data reference).
4. Onboarding call
We walk through your accounts and field mappings together, and answer any questions on how the sync behaves for your specific setup — particularly around your existing donor base and gift history, since those are one-time decisions worth getting right before go-live (see Initial import & historical gifts).
5. Go-live
Once you give the written go-ahead, we run your initial donor import and switch on live sync. From that point, the donor sync runs every 5 minutes and the gift sync (Gifts Pipeline add-on) every 15 minutes — see Sync timing and reliability.
First-day checklist
- APIANT access accounts created for DonorPerfect and ActiveCampaign (API URL + key)
- Pre-installation questions answered (list assignment, owner assignment, tag sync behavior, placeholder-email policy, Gifts Pipeline status)
- Reviewed the field-mapping spreadsheet and flagged any custom fields you want carried through
- Confirmed your expectations for the initial import and historical gift behavior
- Onboarding call scheduled
